A POLITE BUT IMPORTANT MESSAGE FOR RECRUITMENT AGENCIES

These guidelines set out Pinewood.AI’s approach to candidate submissions from recruitment agencies and other third parties. They aim to ensure clarity, transparency and fairness in our recruitment processes while protecting the interests of our organisation.

We aim to source candidates directly wherever possible, using a small Preferred Supplier List (PSL) of recruitment agencies when additional support is needed.

We will only pay agency fees where a signed agreement is in place, our Talent team has instructed the agency in writing to support a specific vacancy, and candidates are submitted through our designated Applicant Tracking System (ATS) process in accordance with that agreement. Membership of our PSL alone does not authorise speculative submissions.

Any CVs or candidate information submitted outside this process, including by social media, email, LinkedIn or directly to any employee or director, will be treated as unsolicited. Receiving, reviewing or forwarding this information does not constitute an accepted introduction, establish candidate ownership or indicate acceptance of the agency’s terms and conditions. We reserve the right to contact, progress and employ these candidates, directly or through another authorised agency, without any recruitment fee or other obligation arising from the unsolicited submission.

By submitting speculative or unsolicited candidate information, the agency acknowledges and accepts this notice.
